Notes from Secret Woods Homeowners Association Meeting
Date: April 7, 2014
Board Members Present: Dan Flynn, Mark Wnuk, Mark Lemmenes, Rob Hagen, Byron DeLong, Sharon Snow. Also present: Laurie Flynn.
Certified Quorum 6:03 p.m.
Approved March minutes with one spelling correction.
Financials:
Financial Reports were presented by Mark Wnuk and discussed. The question of whether to switch to averaging for our JEA bill was discussed. Mark Wnuk will check to see if we can obtain a better rate on insurance (current bill $4,272.35).
Old Business:
Replace pool light (deep end): Pruitt Electric will return this week and meet with Russ Thompson to determine the scope of the work and whether new conduit will be needed. The scope of the work will determine the cost.
Auto-fill float: when Paradise turns off the water, it disables the float. The float will be adjusted down about 4 inches to help with the overflow situation.
Landscaping: the pool looks great. Three additional yards of mulch will be needed; $150 approved for the mulch. There is a gap under the fence in the back that will need to be fixed.
Work day: eight people showed up (four households). A lot of work was accomplished. Suggestion that this be a regular event.
Spring Fling: a fair showing, a good time.
Other Neighborhood activities: open to suggestions. An event for Independence Day was suggested.
FY15 budget inputs—due to Mark as of the board meeting. After discussion, two items were removed from the proposed budget (mailbox irrigation and swipe cards), and the budget was approved. Barry Pearce has pressure washed the entrance signs and estimated it would cost about $300 to re-paint the signs. Sharon will contact the City of Jacksonville about the irrigation in the mailbox area.
Financial audit/accountant review: will be needed at conclusion of fiscal year.
Light at pool is out (pool side): Rob Hagen will fix.
Annual meeting: Monday, May 12, 7 p.m., at Southpoint Baptist Church. Setup at 6 p.m.
Florida Department of State Division of Corporations annual filing: has been made. Point of contact should be treasurer @secretwoods.com.
New Business:
Movie Night: two possible solutions to the licensing issue have been found.
Annual Meeting planning: Laurie Flynn has found a way to print certificates of appreciation. A number of people were proposed for certificates.
Annual Meeting assistance: volunteers needed for sign-in, proxy note cards with # proxies, name tags, taking minutes (Sharon), collecting dues, and collecting votes on amendments. We will bring the leftover water from the Spring Fling. Byron DeLong will bring cookies.
Annual Meeting agenda: members reviewed a draft meeting agenda.
Mailings: mailings should be changed to treasurer@secretwoods.com. We have received additional letters about the foreclosure.
Miscellaneous and violations:
We received 35 payments and 23 votes on the “day of quiet” amendment. While Dan is on vacation, Mark Wnuk will pick up the checks.
Next meeting will be on May 12th, after the annual meeting. The following meeting will be on June 9th.
