Secret Woods Homeowners Association Board Meeting

Monday, April 8th, 2019

  1. Certify Quorum:
    1. Board Members: Kathy Williams, Beth Reiney, Lisa DeMascio, Velma Milliner, Aaron Ward
    2. Joe Williams, Byron DeLong and Daniel Miller
  2. Meeting called to order: 6:34pm
  3. March minutes were approved as written.
  4. Financials: Kathy (based on Sharon’s notes) provided the financial report with budget year to date numbers and account balances.
    1. Credit from Bug Out service has been received.
    2. Check from Jerry Snyder (recertification compensation) has been received.
    3. Proposed budget was provided and will be presented at the annual meeting
    4. Dues from 23 homeowners have been received.
    5. It was approved to reimburse Beth for the Sunbiz annual report filing ($61.25).
    6. It was approved reimburse Kathy for an additional $58.24 for copies and stamps for annual meeting materials.
  5. Old Business
    1. Tennis Court – The court resurfacing has been completed and with an additional $300 expense for new net posts because the old ones were unable to hold tension on the net. Final cost was $9,100.
    2. Dues Lien – The board has determined the current amount owed by Lot #97 is approximately $1200. This amount will be assessed on any sale of the property which is currently in foreclosure.
    3. Jacksonville Mow It All completed the cleaning of the drainage gate for the pond on Secret Woods Dr.
    4. Four way stop at Secret Woods Dr. and Secret Woods Trail – A traffic survey was completed and the determination is that the intersection doesn’t warrant a 4-way stop (based on volume of traffic). There were recommendations on possible traffic calming measures that will be discussed at the annual meeting.
    5. JSO patrol – JSO officers continue to patrol our neighborhood on a daily basis. Neighbors are reminded to keep cars and homes locked.
  6. New Business:
    1. Daniel Miller presented Skedda – an online reservation system that he has configured so that neighbors can reserve the newly refinished tennis/pickleball court. It is a free, online service and depending on neighborhood adoption, may be extended to reserving the pool for parties as well. More details will be presented at the annual meeting in May. The initial reservation times will be from 8am – 8pm for one hour.
    2. $100 has been paid to Southpoint Baptist Church for the use of their hall for our annual meeting in May.
    3. Up to $50 was approved for refreshments for the annual meeting. We will also solicit donations of snacks to offset that cost.
  7. Miscellaneous and Lot Concerns
    1. Several lot concerns were addressed with letters and Architectural Review Committee approvals.
    2. Kathy researched insurance requirements on playground equipment and it there would be an additional $350-$400 premium cost. More discussion at the annual meeting.
    3. There will be 3 open board positions. Please consider volunteering! Our board helps keep our neighborhood great!
