2/3/2020 Secret Woods Board Meeting Minutes

Certified quorum- Dan, Rebecca, Julie, Jenny, Tracy, Velma 3 guests

Call to order

Motion to Approve of previous minutes – Dec 2, 2019

Old business

  • Outstanding is the fence repair- Approved NTE $8000
  • Luminaries great job- the weather held up!

Lessons learned- candles hard to find at one WalMart, wished more houses participated

  • Magnets- great job Julie! Received a lot of good comments about them
  • Mail box and pool lights completed
  • Tennis court nets completed
  • Gary not able to attend but will email financial report- however we are way under budget
  • Pool lock fixed- works great!
  • Package box at mail box- 2 are not working correctly- need to recall which 2 are not working. Dan will talk to mailman about this. Must go to Pottsburg post office to get new keys 
  • Pool leak- no progress
  • Lot 97- no change in status
  • Neighborhood library- Maybe the fence guys could install it while they are here working. Install to the right of the mailboxes away from the Lockwood’s house. Motion to approve the purchase the neighborhood library- NTE $800 all approved
  • Bug Out- Dan follow up with tech about using the key that was provided to them- they aren’t using it- do they still have it?
  • Irrigation issue- TBD doesn’t know what JEA bill looks like
  • Pool Flooding- auto float gets stuck, 2 years old, should still be working but is inconsistent, needs to be looked at and be reliable. Is there warranty? Paradise pools put it in and they are no longer in business

New Business

  • Yard clearing Estimates- Thompson’s yard service- $1700 no insurance or worker’s comp swill not use; Big Ben- expensive quote- $4500 plus $125 for the palm, has 2 million liability service plus 1 million workers comp, William Davis Tree service $2275, has liability insurance but no worker’s comp not too sure about him. Board will investigate other companies to get more bids and compare- the companies must have workers comp or liability insurance. Approved NTE $3500- Dan will go to Big Ben to see if he could make that price work if not able to make it work will go to other companies
  • New neighbors- Dan did an estoppel letter for lot 109 on March 13, 2020 
  • Annual meeting- mailing, has to be received by April 1st, $200 for letters, mailed in mid-march, Dan needs to validate all of the addresses and write letter to neighbors with correct addresses. Dan is thinking about putting current info from the directory and asking them to validate info- on the letter to use to send in assessment. 
  • The board meetings aren’t on Secret Woods.com, talk with Bill about adding HOA meetings to website, also about docu-sign or online bill pay through the website. How involved is this to set up? Is this allowed in our covenants and restrictions or do they need to be changed? Board will explore further. Do regular mail for May 2020 but look to try and do this for the 2021 year. 
  • Approved $200 for annual meeting supplies. Annual meeting Tuesday 5/5/2020
  • No assessment increase for this upcoming year
  • Sunbiz.org- needs to be updated before May annual meeting. Secretary will handle this. Approved NTE $200. 
  • Board Positions
    • Rebecca- 1 year tenure will be up, wants to renew for another year
    • Julie- has 2 years remaining
    • Velma- has 1 year remaining , is willing to serve final year
    • Jenny- has 1 year left
    • Tracy- is done in May, need to have a board member to replace him
    • Gary- done in May?
    • Potentially 2 spots needed 
  • Architectural committee approved new roof for Wootens
  • Julie- needs to get phone numbers to update directory.
