Fence Project Completed; Pool Issues Addressed

The final cost of the new fencing at the front of the neighborhood was $6,426, and 70 blocks of new sod have been laid around the pool maintenance gate by Dan and Laurie Flynn. Catch up on all the neighborhood news in the June minutes.

Minutes

  1. Certified Quorum- Members in Attendance: Julie, Dan, Jenny, Rebecca, Tracy, Velma
  2. Call to Order- 6:05 Dan called meeting to order
  3. Approval of Previous Minutes– (May 4, 2020) Dan makes motion to approve minutes- approved
  4. Financials
    1. Report: Gary was not at meeting so he will provide an update at next meeting.
    2. Audit: Gary will provide update on Debbie’s Accounting audit status at next meeting.

 

  1. Old Business
    1. Mail: SWHOA mailbox is repaired. Package Box 1254A still needs to be repaired- Dan will contact the post office about this. Tracy noticed a mailbox left open and will look up lot number and contact property ow
    2. Pool Leak: ASP applied epoxy putty (no cost). Dan applied more as needed near the 5’ 6 line.
    3. Lot 97: Dan received a letter from the mortgage company for motion to dismiss the amount due to the HOA due to not filing appropriate paperwork. This isn’t true and Dan sent an email with attachments of all paperwork.
    4. Neighborhood Library: Waiting for an update from Gary. The library is at Julie’s house and ready to be installed.
    5. Pool Flooding: ASP estimate to replace float valve $450. Amount approved NTE $550. Julie asked if the pool flooding and the pool leaking are connected. Dan stated no. Would fixing the valve stop it from leaking? Unfortunately not. There are gaps in the marcite at the pool bottom that Dan suspects might be leaks. Dan is thinking about getting the entire pool marcite and tile replaced which would be a big expense. Just something to consider after pool season.
    6. Sod: Dan & Laure laid 70 blocks of sod ($149.80 of $550 approved) at the pool maintenance gate- THANK YOU! Some more might need to be applied but to be determined.
    7. Fence Repair: Job is c $6,426. Received lots of compliments. Byron’s concern was over by the Secret Woods Trail entrance- identified slats that had cracks in them and the owner replaced them. Another concern was the space between the brick and the wood fence. Dan explained the gap is from the contour of the brick column with slat abutting the top.
    8. org: Jennifer: TBD. Needs to be done before September.
    9. Annual meeting: Looking into options to maintain social distance and not to exceed 50 people. Dan will contact the church secretary about room availability. Rebecca looked at DOH website and they recommend social distancing but don’t limit the amount of people. Potential options: usual Southpoint church room, church parking lot, Tracy’s church. Board is trying to plan the annual meeting for August 10.
    10. Tenure status: Gary and Tracy kindly extended for a while.
    11. Insurance Renewed: for 2020 –2021. Dan will talk with Tracy after he looks through insurance information that Tracy sent to him.
    12. Need New BBall Backboard: Motion NTE $950 for new backboard and pad. PRC will install.
    13. Pool Operating Permit: Inspection satisfactory. OP $325. Online ACH for $0.35. Operating permit is due June 30th. Dan will need to file for the operating permit- will look to see if he can do that online. Motion NTE $350 for pool permit- approved.

 

 

  1. New Business
    1. Pool Shower: Plumber fixed the clog on the line.
    2. VaxPak Hose Connection: Plumber loosened hose for Dan so he was able to install new hose gaskets. The old ones were leaking.
    3. Flag Lights: Two are out and need alignment- Dan will look into this.
    4. Pool Key: Julie has emailed and left voicemails and has not heard back. Julie pointed out that the pool key process might need to be looked at to see if there is a more efficient option for this when new people move into the neighborhood. Dan isn’t sure what other option there is. Keys are high security and cannot be duplicated. Dan will follow up about the pool key for neighbors.
    5. Dues Status: All lots are paid – no delinquent letters!

 

  1. Miscellaneous and Lot Concerns
  1. Violations. None.
  2. Architectural Review Committee: One roof is approved and another roof is coming but the board has not been provided details yet.
  3. Items from Board Members & guests- Rebecca wanted to discuss the pool rules. There are non-residents using the pool- how do we enforce that? Is there a need to limit the pool to only 10 people? Julie brought up the bigger issue is that non-residents are using the people which makes it more challenging for residents to social distance. How should we enforce this? Is it our responsibility to ask them to leave? Yes if a resident feels comfortable asking the potential non-residents if they live here or who they are a guest of. Technically the no more than 10 people rule is more of a guideline, but meant to keep the pool users safe.  Social distancing is a requirement.

 

-Julie had concerns about the pool filtering systems. She noticed bugs circling around the scupper drains. Rebecca noticed the bugs gone after ASP cleans the pool. Julie also noticed that there is no net available for members to use to help clean out the pool. ASP cleans the pool 3 times a week during pool season. Motion to purchase a pool net- Approved NTE $100.
