The Jacksonville Sheriff’s Office has been patrolling Secret Woods.  Read the January board minutes for details.

Secret Woods Homeowners Association Board Meeting

Monday, January 7th, 2019

  1. Certify Quorum:
    1. Board Members: Kathy Williams, Sharon Snow, Aaron Ward, Gary Bassett, Beth Reiney
    2. Joe Williams, Byron DeLong
  2. Meeting called to order: 6:35pm
  3. November minutes were approved as written.
  4. Financials: Sharon Snow provided the financial report with budget year to date numbers and account balances.
    1. American Swimming Pools changed their pricing so Sharon has made an adjustment to the automatic payment.
    2. One transfer fee of $800 was received from a closing home sale transaction.
    3. Kathy is working with American Swimming Pool on a discrepancy in their latest invoice.
    4. It was moved, seconded and approved to reimburse Sharon $135.21 for luminary supplies and CC&R mailing and copy expenses. A special thanks to Sharon for returning excess sand and recouping $59.81 for the association.
    5. It was moved, seconded and approved to reimburse Kathy $32.41 for a certified copy needed for the CC&R renewal process and a new neighbor welcome plant.
  5. Old Business
    1. Entrance Landscaping – It was determined that the water usage was minimal, so no expense was incurred.
    2. Rear entrance fence repair – Tabled until Spring 2019.
    3. Tennis Court – Tabled until Spring 2019.
    4. CC&R recertification – The paperwork was submitted and acknowledged within the timeline. We are waiting on status from the state and then we will need to record with the city and distribute to the homeowners. Harris Guidi is going to reimburse the HOA for the expenses during the second renewal initiative. Final amount TBD.
    5. Pool pump – Kathy has submitted the necessary documentation for the 3 year warranty on the new pump.
  6. New Business:
    1. Police Patrol – JSO will be driving our neighborhood, when possible, twice a day. Neighbors need to make sure cars are locked and garages are closed.
    2. Security cameras at the entrance – It was discussed whether it would make sense to have cameras installed at the entrances. The decision was not to proceed at this time as the camera won’t provide actionable evidence. This topic will be discussed at the annual meeting in May.
    3. Lot #97, there is a lien in place and it will have to be satisfied in order for the property to be sold.
  7. Miscellaneous and Lot Concerns
    1. Luminaries – Thanks to the folks that helped purchase, coordinate, assemble and distribute supplies! (Beth, Byron, Lisa, Kathy, Lisa and Christopher)
    2. Holiday decorations – Thanks to the committee who reviewed and awarded the holiday decoration awards!
    3. The board is putting together a “Welcome” letter for new neighbors with helpful hints on the neighborhood. If you would like to make suggestions, contact Beth at jreiney@msn.com.
    4. The board is working on a new cloud storage solution to ensure that documentation is available for future boards.
