Minutes of Secret Woods Homeowners Association Meeting
Date: July 10, 2012 Location: Jamie Montgomery’s HouseBoard Members Present: David Theus, Ross Thompson, Rob Hagen, Mark Wnuk, Jamie Montgomery, Mark Lemmenes, and Dan Flynn. Byron DeLong was present.
Order of Business: Quorum certified and meeting called to order.
Minutes from June 12th approved. Financials read and approved. Four Properties have not paid their dues and late fees. Notices have been placed on the homeowners doors which followed multiple mailed notices. If payment is not received by July 16th the accounts will be turned over to an attorney for collections and legal processing. The budget for the fiscal year of 2013 was presented by Rob Hagen. Discussion ensued concerning certain line items. A motion to approve the budget with discussed changes was approved.
Old Business:
Violation Letters: No violation letters were sent over the last 30 days.Pond Maintenance: Lake Doctors is leaving receipts for the board each time they do work on the neighborhood ponds.The Plexiglas on the sign at the rear entrance was replaced.
New Business: A reminder notice will be placed on the mailbox bulletin board to remind homeowners to keep the pool area clean. Additional cleaning services by the cleaning company that maintains the bathrooms will be added expense to the association that the board would like to avoid.Please help to keep the pool area clean by putting all trash in the garbage can. Thank you.
The expense of adding gutters to the pool side of the pool house is being investigated in order to keep the pool deck cleaner. Less dirt, mold, algae, and rust stains.
Pool Maintenance: The pool was inspected by the county and additional ‘no diving’ tile signs are needed on the pool. An estimate was received from the pool maintenance company to complete the required work for $850. The pool will need to be closed between 1.5 and 2 days. Additional maintenance is needed at the pool and each item was discussed which included among other items repairing the underwater lights, cleaning all existing tile, and resurfacing the decking for the pool. To complete the additional maintenance items the pool will need to be closed for an entire week.
A motion was approved to add the ‘no diving’ signs, complete the recommended maintenance, and resurface the pool deck for a cost not to exceed $12,500. The motion included installing the ‘no diving’ signs as soon as the work can be coordinated with the pool maintenance company. The remainder of the work will be completed after December 1, 2012 so that the closing of the pool will have minimal impact to homeowners using the pool during warmer months. Notice of pool closings will be posted on the mailbox bulletin board and at the pool providing as much notice as possible.
With all matters discussed and no further business at hand, the meeting was adjourned.The next meeting will be August, 14th at 6PM at David Theus’s house.
