Old Business: Fence repairs that were approved (up to $1700) have been completed with the exception of the tennis court. The tennis court fence will be dealt with after the tennis court repairs are completed. (Rob)Tennis court repairs will begin in February and will take approximately 2 weeks to complete depending on weather. An additional fence windscreen will need to be purchased at a cost of $375. It was determined that the additional cost may be absorbed in the repair amounts (not to exceed $6,500) that have been previously approved by the board. (Dan)Pool deck and repairs have been completed. Thank you Ross Thompson for your oversight on the completed project.
(Ross)Lights at the pool: Timer for the security lights needed resetting. This was completed and appears to be working correctly. (Rob) Certain security lights on the pool house and at the entrance run off of bulbs that require a ballast. By removing the ballast it is possible to operate halogen bulbs. Determination of which lights and who can complete the work is needed. (Ross)A meeting room has been secured at Southpoint Baptist church for Monday, May 13th, from 6-9PM for the HOA annual meeting. (David)The board allotted $50 for the purchase of a replacement Christmas sign announcing a house decoration winner. The actual price was $51.04. A motion was made and approved for the additional $1.04 for the purchase of the sign. The original missing sign has since been returned by a homeowner and all signs are secured. (David)The final annual dues notice letter, announcement of annual meeting, and proxy were reviewed.
New Business: Rick, lawn service, was able to cut back roots that were running under the tennis court. There will be an extra expense in the February bill for this service.Audit of the financials will need to begin by a certified accountant in preparation for the annual meeting.Neighbors have expressed concern that vehicles are driving too fast in the neighborhood for the safety of children and residents.

A letter was received from Paladin Alliance LLC offering their services to our HOA to recover possible refunds, credits, meter adjustments from the JEA for a fee. The association will contact JEA to determine if this is valid and if there are other circumstances to have a review of our accounts. (Mark W)Violation Letters: A letter was sent to a neighbor on Misty Creek about their loose dog that was causing trouble for neighbors.
(David) A letter will be sent to a neighbor on the cul-de-sac of Secret Woods Drive that has signage in the back of a vehicle that is visible and the condition of their yard. (David)Miscellaneous:The board will look at hosting a Spring Chili Cook off. (Ross)The Secret Woods Covenants and Restrictions state that our neighborhood is a no solicitation neighborhood. Discussion occurred.After the gutters were added to the pool house a replacement sensor is needed for the yard water sprinklers. This will ensure we are in compliance with watering restrictions in Duval County. A motion was made and the board approved an amount not to exceed $165 for the purchase and installation of a new sprinkler sensor.
(Ross & Dan)Two coyotes have been spotted in the woods surrounding our neighborhood. A notice will be posted at the mailbox.A suggestion was made to utilize the signs at the entrances of the neighborhood to announce pool & tennis court closings.
