Board Meeting – Monday, January 13,2025 Time: 6:30

MINUTES

  1. Certify Quorum: Rebecca, Kim, Laurie, Skip, Linda, Carty, and Sandy.
  2. Call to Order: 6:31 p.m.
  3. Approval of Previous Minutes: approved
  4. ARC Report: Lot 108 and Lot 114 projects: fixing a sunroom and painting the exterior of a home both approved.
  5. Financials
    1. Report: $35, 318 in savings, $1675 in checking, and $33, 589. Projected expenses: Insurance $5225 if there is no increase. Linda budgeted $6500, but the total will not be known until March. Regular neighborhood expenses total around $3000/monthly. Discussion about having a buffer of $18, 000 and what our general liability insurance covers. The insurance covers the neighborhood if anyone is injured during a work day or at any of the recreation areas.
  1. Old Business:
    1. Pond(s) Update: Do we want to contract for quarterly maintenance on the fountains? Motion passed to have quarterly maintenance completed on the fountains by Solitude. The fountains are both working beautifully.
    2. Drainage along SWT: No response from the city. Larry M. to call as well.
    3. Holiday Plans: Thanks to all who helped make this a successful event!
  1. New Business:
  1. Webmaster Neighbor Requests: Lot 79. Several approvals have come in. Discussion of a shed that is being built attached to a home and is visible from the street. The proper website ARC form needs to be filled out, and homeowners need to await a decision by the ARC and the board.
  2. Possible Dues Increase: A 10% increase would bring in an extra $5, 040. Discussion about dues increase. Pros and cons. The board needs to have at least $10, 000 in reserve. There are expensive repairs that need to be made to the pool. Board voted to increase the dues by $10% which equates to $40. The new yearly dues are $440. Dan will include this information in the dues/annual meeting letter.
  3. Yard of the Month Sign: Thanks Byron for taking on the repairs of the Yard of the Month sign! Motion approved to spend $100 for repairs.
  4. 2025 Projects to consider: Tennis Court Resurfacing, Rekeying and rehanging pool gate, raising the pool deck foundation, resurfacing the pool deck. Long discussion about raising up the pool and fixing its foundation so that the water flows away from the pool instead of puddling around the sides. This project will fix the crack around the perimeter of the pool as well. To completely fix the crack will be around $22, 760. Discussion about saving up $8-10k to redo the tennis courts after the pool repairs. Rekeying will be discussed at a later date.
  5. New Webmaster: Discussion about Erin Gordon becoming the new webmaster. The website would move to her server and the payment would still be $24.95/monthly. There will be no real changes to the site. Erin will transfer everything over and let the board look at it. Discussion about Erin taking over the website and new BOI rules. Motion approved to move the website to Erin’s hosting platform and have her be the new webmaster. Thanks, Erin!
