Board Meeting – Monday, February 10, 2025 Time: 6:30

MINUTES

  1. Certify Quorum: Laurie, Linda, Sandy, Carty, Kim, and Rebecca
  2. Call to Order: 6:31 p.m.
  3. Approval of Previous Minutes: approved
  4. ARC Report: Lot 61. Letter sent via USPS. David H. to call the city about permits.
  5. Financials
    1. Report: Linda emailed the financial report to the board. Checking: $2, 411, Savings: $33, 543, CDs: $33, 683. $1, 224 in dues has already been received. Discussion about bills and monies leftover after bills have been paid. Should be around $41, 000. The neighborhood is in better financial shape than previously thought. Discussion of how much to raise dues since the neighborhood is in good financial shape. Board voted to raise dues only $25 instead of the $40 that was agreed upon last meeting. New dues for fiscal year 2026 are $425. This change will be reflected in the letter sent out before the annual meeting.
  1. Old Business:
    1. Pond(s) Update: Fountain maintenance contract signed; Runs Feb 1-Jan 31. The cost is $600/yearly for quarterly fountain maintenance. This cost does not include any possible repairs.
    2. Transitioning Website: copy has been transferred; need to update domain contact info. The transition to the platform is in the works.
    3. Dues Letter/Annual Meeting: The letter will be drafted by Dan and sent out in March. The board voted to delegate dues collection to Dan.
    4. Drainage along SWT: Adam N. called the city and a ticket has been put in. The city is backed up and said they will send someone out to see about the drainage. Discussion of drainage along SWT West and possibly having the city come look at drainage issues there. St. Johns Water Management will look at drainage issues if there are downed trees.
    5. Project in process: Foundation repair of pool deck – costs vary from $4,100 – $7,700. Laurie tried to get a third estimate but could not find anyone. Discussion about Alpha Foundations and Lux Foundations. Motion approved to use Alpha Foundations because their quote was more comprehensive. The repair process should take 1 day. Laurie to schedule.
    6. Yard of the Month Sign: Thank you to Byron for having the sign repaired. Dennis did a fantastic job!
    7. Projects to consider: Tennis court resurfacing-delay until pool deck completed? rekeying/rehang pool gate-delay to 2026? resurface pool deck 2025? Tabled until next month.
  1. New Business:
  1. Webmaster Neighbor Requests: No new requests.
  2. Drainage along SWTW: flooding due to creek blockage. St. Johns Water management will be called if there are downed trees. The flooding will be assessed during the next heavy rain. David H. will look back through information about the flooding and the remedy from years past.
  3. New Board Positions: There are two positions available. President and Treasurer. Ask your neighbors!
  4. Miscellaneous and Lot Concerns
  5. Concerns from neighbors: Pumpkins left outside. Letter has been sent. Letter template is available on sync. Any board member can access the letterhead. Discussion of lot 111. Ninja course and tree house. Needs to be researched in the C & Rs, HB 1203, and the city’s rules. Discussion of parking vehicles in yard (Lot 79). It is not allowed per C & Rs.
  6. Items from Board Members & Guests: Board members to walk the pool on Saturday, February 15 at 9:00 to look at the crack around the pool.
