MINUTES
OF
SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: April 13, 2009
LOCATION: Publix Meeting Room
BOARD MEMBERS PRESENT: Gary Bassett, Ross Thompson,
Katherine Frazier, David Hargnett, Shon Graham, Rob Hagen,
Beth Reiney
HOMEOWNERS PRESENT: Byron DeLong, John Cox, Tracy Winfree
Meeting was called to order; minutes from the March 9, 2009
monthly meeting were read and accepted. The treasurer’s
March report was read and accepted.
UNFINISHED BUSINESS:
*ANNUAL MEETING PREPARATION: The date of Monday, May 11,
2009 was confirmed for our annual homeowners association
meeting. The meeting will be held in the social hall of
Southpoint Baptist Church and will begin at 7:00pm. A
sign-in sheet will be manned by Ross Thompson as a count of
attendees and proxies is vital to verify a quorum. Pat
Parrish will prepare the annual financial statement; Beth
Reiney will bring refreshments; Dave Hargnett will purchase
name tags and Gary Bassett will make preparations for a
paper ballot if needed. Both Gary Bassett’s and Katherine
Frazier’s terms will end in May; each has offered to stay on
the board for another three year term if elected.
*WORK DAY IN APRIL: Saturday, April 18 has been chosen as
the neighborhood work day. Volunteers should meet in the
parking lot at 8:00am and plan to assist with clean up along
the fence row. Several dead trees need removing as well as
leaves and debris need to be raked and bagged. This clean up
day is much needed after our recent storm. Rob Hagen, Ross
Thompson, David Hargnett and Shon Graham have agreed to head
the workforce on our clean up day. Neighbors should bring
their rakes, chainsaws, lawn bags and clippers. The work
should be done by noon with the board providing pizza, water
and soft drinks for lunch.
*POOL UMBRELLAS: There is an ongoing problem with the lack
of longevity of our pool umbrellas. After research by Rob
Hagen and Shon Graham regarding cost versus reliability the
board voted to spend up to $200 each on commercial grade
umbrellas but purchase only two at this time. An
installation committee is needed to devise a way to lock the
umbrellas into the tables to prevent theft.
NEW BUSINESS:
*COVENANT ISSUES: John Cox presented to the board a request
for assistance to remove the dilapidated fence along the
back of his property (Lot #66) and the Zidan’s property (Lot
#61). The fence, belonging to Lot #61, has caused drain
obstruction and is currently in disrepair. After several
discussions between the neighbors brought no results, the
board will send a letter to the Zidan’s with a 30 day notice
to remove the fence.
*COMMUNITY MAINTENANCE: On going maintenance is needed in
our public areas to keep our pool, tennis courts, fountains,
entrances, and security lights in good working condition.
The lock on the men’s room at the pool is not working; Rob
Hagen and Ross Thompson will work on that project this week.
Our pond fountains are not working again; Gary Bassett will
contact another fountain repair company to inspect our
fountains and give the board a bid on repairs. The lights at
the tennis court are out, and the entire pool area needs
power washing prior to summer. These are projects that will
be handled as quickly as possible.
MISCELLANEOUS:
*POOL DRAIN: Crown Pools has not installed our mandatory
pool drain cover and another call to them will be made this
week.
*GARAGE SALE: Several neighbors have requested another
neighborhood garage sale. With the March Luau and the April
neighborhood clean up day it was decided to wait until
September to host a garage sale.
*FIRE HYDRANTS: A request was made to JEA to paint our fire
hydrants.
The next board meeting will be held Monday, May 11, 2009 at
the Southpoint Baptist Church Social Hall at 7:00pm.
*Meeting was adjourned at 7:55 pm.
