MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: July 13, 2009
LOCATION: Publix Meeting Room
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier,
David Hargnett, Rob Hagen, Beth Reiney
HOMEOWNERS PRESENT: Bryon DeLong, Joe Miller
Meeting was called to order at 6:00 p.m. The minutes from
the June board meeting were accepted as written. The
financial statement prepared by Pat Parrish was accepted as
written
OLD BUSINESS:
*LIGHTS AT TENNIS COURT: Due to the continued problem with
the non-functioning lights at the tennis court, an
electrical repair company was called. It was determined that
the underground wiring was in need of repair. A ground fault
interrupt was installed creating a direct barrier enclosing
the conduit. Also installed was a case box around the timer.
As these were safety issues the board felt this repair
needed immediate attention.
*UMBRELLAS: Our fourth umbrella was installed at the pool
area utilizing all the previously purchased umbrellas.
*FOUNTAINS: The front fountain appears to be tripping a
breaker each time it comes on. With continued mechanical and
electrical issues regarding the fountains the board
considered obtaining an annual maintenance contract from a
reputable company. The first bid seemed too expensive and
the contract too binding. It was decided to continue
searching for bids but meanwhile have the breaker box
checked and repaired if needed.
*POWER WASHING: The board will continue to get bids for an
annual contract to have the pool deck, pool furniture and
tennis courts power washed on a three to four times a year
basis. David Hargnett, a neighbor and board member, has
withdrawn his bid. Beth Reiney will obtain a bid from Rick
who maintains our common grounds.
*SECRET WOODS WEBSITE ADS: After last month’s discussion
regarding residents advertising their businesses on the
website, Bill Bortzfield was contacted for his input. He was
most receptive to the idea but requested written guidelines
from the board. A listing of the parameters to be used for
placing ads on the Secret Woods website will be an addendum
to these minutes and placed on the bulletin board as well as
on the website.
*UPCOMING SOCIAL EVENTS: A brief discussion continued
regarding our next event which is our annual garage sale to
be held on Saturday, September 19 from 7:00am to 2:00pm. A
pool side party will begin at 4:00pm with more details to
follow.
*2009-2010 BUDGET: The annual budget for the association
will be presented at next month’s meeting.
NEW BUSINESS:
* FORECLOSURE: Secret Woods Homeowners Association has been
named as a defendant in the upcoming foreclosure proceedings
on Lot #105. Due to the legalities involved the board
unanimously voted to turn the proceedings over to our
attorney.
*AUTOMATIC DOOR CLOSURES: It was brought to the attention of
the board that the restroom doors at the pool are propped
open which presents a rather unsightly view for all . When
automatic door closures were suggested it was discussed that
the entire restrooms need a facelift. It was decided to make
this a late fall project that would include painting each
restroom, installing air vents in the ceiling, installing
hooks for towels and clothes and possibly floor mats. A
budget not to exceed $1,000 was agreed by the board for the
restroom project with the labor being done by volunteer
neighbors.
MISCELLANEOUS:
*LOCK ON POOL GATE: Joe Miller came to the meeting with
liability concerns as the pool gate is not latching . This
issue will be immediately addressed by the board.
*DRAIN COVER: Crown Pools has not installed our pool drain
cover. A call to Crown will be made to see if the covers are
now available and to schedule installation.
*NEW DIRECTORY: An updated directory will be published and
distributed to each neighbor before the September board
meeting.
*CHAIR CUSHION ORDERED: One of the chair cushions on the new
pool side chairs has been cut. A new cushion has been
ordered and will be put in place upon arrival.
*COMPLIANCE LETTERS: Several neighbors are not in compliance
with the covenants and letters from the board will be sent.
Another letter will be sent to Lot 61 regarding removal or
repair of their fence.
*ANNOUNCEMENT BOARD AT ENTRANCES: The board is getting ideas
and pricing on building two announcement boards that will be
placed at each entrance of the neighborhood. These small
structures will be similar to the ones at the entrances to
Secret Cove. Further discussion and plans will be presented
at the next board meeting.
With all matters discussed, and no further business at hand,
the meeting was adjourned at 7:25pm.
The next board meeting will be held Monday, August 10, 2009
at the Publix Meeting Room at 6:00PM.

MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING

BOARD MEMBERS PRESENT: Gary Bassett, Ross Thompson,
Katherine Frazier, David Hargnett, Shon Graham, Rob Hagen,
Beth Reiney
HOMEOWNERS PRESENT: Bryon DeLong, Joe Reiney
Meeting was called to order at 6:00 p.m. The minutes from
the May board meeting were accepted as written. The
financial statement prepared by Pat Parrish was accepted as
written. A report regarding annual dues shows only three
homeowners have not paid at the time of the meeting.
OLD BUSINESS:
*COVENANT ISSUES: The debris and brush have been completely
removed from Lot #61 according to the request made by the
board. However, the fence has not been repaired or removed.
No action was taken by the board at this time.
*LIGHTS AT TENNIS COURT: Rob Hagen has volunteered to repair
the lights at the tennis courts. This should be accomplished
within the next week.
*FOUNTAINS: A new fountain repair company has been secured
by the board. The fountain in the back pond has been removed
for repair and should be re-installed within several weeks.
*UMBRELLAS AT THE POOL: The elements have destroyed two of
the umbrellas at the pool. These have been removed and two
new umbrellas have been installed.
*POWER WASHING: David Hargnett, a neighbor and board member,
has presented the board with a bid to power wash our pool
area, tennis courts and pool furniture. His proposal
suggests four deck cleanings a year, with the pool furniture
being cleaned twice a year, and the tennis courts and
parking lot cleaned on an as needed basis. The board voted
to have David clean the deck and furniture now, but to
compare pricing with Rick our maintenance/lawn caretaker
before a final decision is made.
*STORM WATER RUNOFF DISCOUNT: In an attempt to obtain
discounts on the storm water tax, the board has learned that
in order to get a discount our neighborhood must first have
a permit. Unfortunately Secret Woods was built before these
permits were issued. To obtain a permit, the city must
survey our entire area and the possibilities are strong that
water run-off, drains, ponds, and creeks have been altered
over the years. If this is the case, the city could enforce
fines. It was, therefore, concluded by the board that it was
in the best interest of the neighborhood to not pursue this
issue.
*SECRET WOODS WEBSITE ADS: A proposal was brought to the
board for review regarding small, at-home businesses in the
neighborhood having permission to advertise on the Secret
Woods website. After discussion it was decided that David
Hargnett and Katherine Frazier should meet with Bill
Bortzfield, our webmaster, to see if this would be viable.
The results of that meeting will be discussed at the July
board meeting.
*UPCOMING SOCIAL EVENTS: The social calendar for Secret
Woods events was set with the following dates:
**Sat. September 19 - Garage Sale - 7:00am - 2:00pm
Block Party - 4:00pm - ?
**Sat. November 14 - Chili Cook-Off - 4:00pm - 7:00pm
**Wed. December 16 - Judging of Holiday Decorations
**Sat. December 19 - Luminary Night
**Sat. March 27, ’10 - Spring Fling - Luau
With all matters discussed, and no further business at hand,
the meeting was adjourned at 7:15pm.
The next board meeting will be held Monday, July 13, 2009 at
the Publix Meeting Room at 6:00PM.
