MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE : April 12, 2010
LOCATION: Publix Meeting Room
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross
Thompson, Beth Reiney Shon Graham and Rob Hagen
HOMEOWNERS PRESENT: Bryon DeLong
Meeting was called to order at 6:00 p.m. The minutes from the March board
meeting were accepted as written. The financial statement prepared by Pat
Parrish was accepted as written.
OLD BUSINESS:
*FOUNTAIN REPAIR: The back entrance fountain is not working; a repair
request has been placed with the fountain maintenance company.
*BATHROOM RENOVATION: After a special board meeting was held on March 29 to
approve expenditures for the pool bathrooms’ renovations, the work began
last week. To date the men’s room is almost complete with new bracing for
the sinks, rotten wood molding removed, new door jams, lock panels and air
vents installed. The ceiling and walls have been painted. The women’s
restroom should be completed within three days with the entire renovation
finished by Friday, April 16, 2010.
*POOL LIGHTS: All lights at the pool are working with one exception which
Rob Hagen will check as soon as possible. It was noted that the flood light
on our flag is out and rather than continue to replace the bulbs Ross
Thompson volunteered to purchase a replacement light fixture.
*ENTRANCE ANNOUNCEMENT SIGNS: The housing for the entrance announcement
signs will be completed by May.
*ANNUAL MEETING LETTERS/DUES LETTERS: The annual meeting/dues letters have
been mailed. The Annual Board Meeting will be held on Monday, May 3, 2010 at
the Southpoint Baptist Church on Tiger Hole Road beginning at 7:00 pm. Our
councilman, Don Redmon, will be invited to attend this meeting.Much
discussion ensued on how to get our neighbors to attend this annual meeting.
We must have 42 neighbors present to hold the meeting and make official
decisions. It was suggested that each board member canvas their street to
either invite their neighbors or obtain a signed proxy. It is vital that
residents become involved in the due processes in managing our neighborhood.
Preparation for the annual meeting was discussed with several board members
volunteering to handle snacks, coffe and water. Name tags and a sign-up
sheet will be available as well as Marianne Pophel’s wonderful book of
neighborhood photos. Byron DeLong volunteered to print a sign for the
bulletin board to announce the annual meeting.
NEW BUSINESS:
*POOL CLEANLINESS: A discussion was held on ways to make sure Crown Pools is
cleaning our pool on the regularly scheduled basis as contracted. A log-in
sheet will be installed with a request that Crown document each visit. It
was determined that we would request the same for Jan-Pro the company who
cleans our pool restrooms.
MISCELLANEOUS:
POOL KEYS: It was brought to the attention of the board by Debbie Willliams
that they are running out of pool keys. The board voted approval of
purchasing ten new keys for the pool.
POOL ETIQUETTE: As spring arrives and the swimming pool becomes a popular
place, a pool etiquette reminder will be placed on the bulletin board. Even
though a private party is being held at the pool, the area is available for
all residents to enjoy the pool.
ABUTMENT BOARDS: The top boards on the retaining wall between the tennis
courts and the back pond had become rotten and needed to be replaced. A huge
thanks to David Hargnett and Ross Thompson who removed the old rotten wood
and installed new lumber across the top of the wall.
With all matters discussed and no further business at hand, the meeting was
adjourned at 6:47 PM
The next board meeting will be held Monday, May 3, 2010 at the Southpoint
Baptist Church.
