MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE : September 13, 2010
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross
Thompson, Beth Reiney, and Rob Hagen
HOMEOWNERS PRESENT: Bryon DeLong
Meeting was called to order at 6:05 p.m. The minutes from the August 2010
board meeting were accepted as written. The financial statement prepared by
Rob Hagen was accepted as written.
OLD BUSINESS:
POOL MAINTENANCE: The board voted to accept the bid from Hammerhead Pools to
begin the maintenance on our neighborhood pool. The transition from Crown
Pools to Hammerhead will begin as soon as possible.
*TIGER HOLE LANDSCAPING: The bid from our landscaper, Rick, was accepted as
the winning bid for our proposed landscaping/clean up project. His bid is as
follows: ****To clean outside beds along perimeter of neighborhood, pull
weeds, rake, trim shrubs, pampas grass and prune trees along this area. Also
included is a clean up around perimeter of pool area - $900.00.
****To mulch entire area of beds - $675.00
****To pressure wash pool deck and furniture - $150.00
The mulching project will be postponed until late winter/early spring as
that is the ideal time to mulch the beds.
*VIOLATION LETTERS: Once again the board has received several complaints
about various violations of our covenants, Four compliance letters will be
mailed to the residents who have not responded. These requests will give our
neighbors 30 days to comply to Secret Wood Homeowner Association by-laws and
covenants.
NEW BUSINESS:
*SOCIAL ACTIVITIES: Our annual Chili Cook-Off will be held on Saturday,
November 13 from 4:00pm - 7:00pm, poolside. Neighbors are encouraged to
bring their favorite chili to be judged by a panel of experts. Other
neighbors may bring side dishes and desserts. Soft drinks and water will be
provided. More information to follow.
*LIGHTS AT POOL AREA: The light on the flag as well as inside the pool area
are not working properly. Rob Hagen will replace bulbs where needed and
re-set the timer to accommodate the changing seasons.
*VANDALISM: Earlier this month our Tiger Hole entrance sign was defaced with
graffiti. A huge thank you to Ross Thompson who handled the repairs to the
sign. This week one of our pool chairs was thrown into the pond and several
other chairs were stacked along the fence row. These repairs and
replacements are costing the association and the board is asking for all
neighbors to be vigilant in their watch of the neighborhood.
*ANNUAL EXPENSE ACCOUNTS: The board voted to set up two new expense accounts
to speed the approval of small expenditures. One account will be for
Landscaping in the amount of $250 annually; the other will be Miscellaneous
Repairs in the amount of $500 annually. These accounts will allow the
treasurer to reimburse small expenditures in a timely manner.
*SPRINKLER/TIMER: To assist in the maintenance of the garden in the
esplanade at the Tiger Hole Entrance, the board will investigate installing
a timer on the sprinkler system. Ross Thompson and David Hargnett will
research the purchase and installation of a timer.
*LEAKING SPRINKLER: There is a considerable amount of water leaking from the
pipe leading to the sprinkler head closest to the pool parking lot. Ross
Thompson and David Hargnett will check out this pipe to see if they can
repair it.
With all matters discussed and no further business at hand, the meeting was
adjourned at 8:15 P.M.
The next board meeting will be held Monday, October 11, 2010 at 6:00 p.m.
