MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING

BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross Thompson, Beth Reiney, and Rob Hagen
HOMEOWNERS PRESENT: Bryon DeLong

Meeting was called to order at 6:03 p.m. The minutes from the September 2010 board meeting were accepted as written. The financial statement prepared by Rob Hagen was accepted as written.

OLD BUSINESS:

POOL MAINTENANCE: Hammerhead Pool Maintenance became our new pool maintenance company beginning October 1, 2010.

*TIGER HOLE LANDSCAPING: It was requested that Rick begin segments of his landscaping contract by pressure washing the pool deck and furniture. This will be accomplished before the Chili Cook-Off on November 13.

*CHILI COOK-OFF: Saturday, November 13 is the date for our annual neighborhood chili cook-off. Event will be held at the pool area from 4:00pm - 7:00pm. A reminder to save the date will be posted on the bulletin board as well as a sign up sheet. The board voted to include $100 in gift cards for prizes for the winning chili contestants. Another $200 has been approved for expenditures for the event and will be spent on paper goods, ice, condiments, water, and soft drinks.

*VIOLATION LETTERS: Five violation letters were read and approved by the board that will be mailed to neighbors this week.

*SPRINKLER FOR ENTRANCE: The board is concerned about the lack of water at the main entrance where our neighbor, Marianne Pophel, volunteers her time and efforts to maintain this area with plantings. After searching the internet, several local sprinkler companies and home improvement stores, an isolated sprinkler on a timer could not be found. Discussion pursued on revising our sprinkler system as the current one does not water inside the fenced pool area, around the tennis courts or outside the tennis courts where new shrubs were planted last year. A new irrigation system is needed but will be expensive. Several board members volunteered to begin to research this project.

*LIGHTS ON THE FLAG POLE: Ross Thompson replaced the flood light on our flag and noticed this light fixture is being soaked by the sprinkler system. This certainly explains why the bulbs only last two months. It was recommended this sprinkler head be adjusted.

*PONDS: Our new pond maintenance company, The Lake Doctors, is gradually getting our ponds in good shape. The next step is to have grass carp put into the ponds and Beth Reiney will get that schedule from The Lake Doctors.

NEW BUSINESS:

*LUMINARY SUPPLIES: The large supply of candles and white bags is being stored in the storage room at the pool. Before additional items are purchased for this year’s luminary event board members will inventory these supplies.

*TENNIS NET STRAP: When the tennis net was repaired the board was given an extra tennis net strap and it is being stored in the storage room at the pool.

*POLITICAL SIGNS: A gentle reminder will be posted on the bulletin board that no political signs may be placed in our yards per the association’s restrictions.

*PAYPAL USAGE FOR DUES: As a convenience to our neighbors for paying the annual dues, the possibility of using Paypal was discussed. It was determined that the fees were too high but other options will be researched.

MAILBOX AREA RENOVATIONS: It is the goal of the board to spruce up the mailbox area before next spring. Plans will be discussed and a budget set within the next few months.

With all matters discussed and no further business at hand, the meeting was adjourned at 7:00 P.M.

The next board meeting will be held Monday, November 8, 2010 at 6:00 p.m.
