MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: November 8, 2010
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross Thompson, Beth Reiney, and Rob Hagen

Meeting was called to order at 6:04pm. The minutes from the October 2010 board meeting were accepted as written. The financial statement prepared by Rob Hagen was accepted as written.

OLD BUSINESS:

SOCIAL ACTIVITIES: The annual chili cook-off will be Saturday, November 13 from 4:00pm – 7:00pm poolside. Neighbors are to bring their best chili to be shared and judged by a selected panel. Those who would rather not bring chili are asked to come with their favorite dessert. Prizes will be awarded for the top three contestants. The board will provide water, soft drinks and condiments for the chili.

LUMINARY NIGHT: Planning is underway for the neighborhood Luminary Night that will be held on Saturday evening December 18. Each neighbor will be given bags and candles with instructions to get their sand from the pool parking lot. More information on this evening will be posted on the bulletin board in December.

IRRIGATION SYSTEM: Bids to improve our irrigation system were not received in time for this month’s meeting. Discussion was deferred to December’s meeting. The objective is to improve the current system by adding another zone and new timer to update what is already in place.

PRESSURE WASHING: The pool deck, surrounding area, and pool furniture have all been pressure washed.

NEW BUSINESS

FOUNTAIN REPAIR: Innovative Fountain Repair service has been called to repair both of our fountains.


VII: SEC 8: CPA FOR ANNUAL STATEMENT: According to our by-laws a CPA must review and prepare an annual financial statement to be presented at the board’s annual meeting. Bids will be collected by board members and presented at December’s meeting.

MISCELLANEOUS:

WIND SCREENS: The tie downs on the wind screens around the tennis courts have been replaced.

PINE TREE: A huge pine tree at the corner of Tiger Hole Road and Goodnow has died and needs to be removed. This tree is on our property and due to the liability the board feels this tree needs to be removed promptly. Bids for tree removal services will be gathered by the board.

TIMER AT POOL: Due to the time change the timer at the pool is not working properly. Rob Hagen will adjust the time so the security lights will come on at dusk.

OLD SWING SET: The old broken swing on the back side of the pond will be removed. Dave Hargnett and Ross Thompson have volunteered for this job. The board discussed the possibility of purchasing a park bench to place on the front side of the pond. Discussion was deferred until next month.

NEW ATTORNEY: The board has obtained a new attorney, Jonathon Smith, to represent the association if needed in legal matters.

With all matters discussed and no further business at hand, the meeting was adjourned at 7:08 p.m.

The next board meeting will be held Monday, December 13, 2010, 6:00 p.m.
