MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION
MEETING
DATE: July 11, 2011
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, Ross Thompson , Rob
Hagen, Mark Wnuk, and David Theus.
NEIGHBORS PRESENT: Bryon DeLong, Marianne Pophel, Bob Anderson, Jim Cowling,
John Loving, David Hargnett, Dan Flynn
Meeting was called to order at 6:02pm. The minutes from the June 2011 Board
Meeting were accepted as written. The financial statement prepared by Rob
Hagen was accepted as written.
OLD BUSINESS:
SHEDS; ENFORCEMENT, COVENANT CHANGE: With several requests from homeowners
to modify the existing restrictions regarding sheds and outbuildings, the
board has voted to undertake the challenges regarding this issue. A draft
letter and ballot were prepared and presented to the board for comments and
revisions. It was voted to accept the proposed letter offering the
opportunity for the residents to modify the Covenants and Restrictions
regarding our present policies on sheds. The letter and ballot will be
mailed to each homeowner with a request for the ballot to be returned by
August 30, 2011.
POOL MAINTENANCE: After many complaints regarding the condition of the pool
water, the board dismissed the current pool maintenance company and hired
Paradise Pools. Our new service person spent two hours cleaning and
bleaching the inner rim of the pool as well as the immediate walk way around
the pool. The area is now very clean even though the tiles are old and have
lost their luster. The cost for our new pool service is $610 per month; all
chemicals are included. A 10% discount for parts and labor not covered by
their regular maintenance visits is also included. During the peak summer
months the service will be in place on a three times a week basis, dropping
to twice a week service in the winter months.
DUCKS IN THE POOL: Research was done by David Theus on ways to discourage
the ducks from swimming in our pool. Alarms and netting were ruled out;
discussion regarding a liquid that would be put in the pool that would make
the ducks not want to land brought about many questions. It was decided to
let the new pool maintenance company suggest and implement their remedies.
POOL DECK PAINTING: The decking around the pool needs to be painted and the
board will get a bid from Paradise Pools.
MAIL BOX RENOVATION: Terry Trussel will give us a bid on the mail box
renovation. The area needs a makeover that will include possibly making the
mailboxes more even and sturdy, new siding, removal of the lattice, and
fresh paint. One bid has been received and the board will discuss Mr.
Trussel’s bid next month.
DEAD PINE TREE: After many calls to the city regarding the very large dead
pine tree at the corner of Tiger Hole and Goodnow, another request has been
made. Hopefully the city will remove this tree within the next two weeks as
promised.
NEW BUSINESS:
NO FISHING: Once again residents are asking the three boys on the golf cart
to leave our neighborhood. They continue to fish in our ponds and destroy
property immediately around the ponds. It was learned this week that the
Fish and Wildlife Commission may have more jurisdiction over our issues with
these trespassers. More to follow after the August board meeting.
FISHING FOR RESIDENTS: While discussing the trespassers the issue of whether
residents with their children and grandchildren could fish in the ponds. It
was discussed and recommended that our neighborhood should enjoy our ponds
and are welcome to fish with their children and grandchildren. Please make
it a ‘catch and release’ fishing adventure.
MISCELLANEOUS:
LETTERS FOR SIGNS: After researching locally for replacement letters for our
signs, it was determined that our best resource will be to order the letters
on –line. Bryon Delong will let the board know when he is in need of new
letters.
POOL KEYS: More vandalism in the pool and tennis court areas has prompted
the board to consider re-keying the pool gate. Other avenues were discussed
such as installing a keypad with the code being changed monthly or
installing a mechanism to swipe cards. Mark Wnuk volunteered to research our
options and costing and will report his findings next month.
CHAIN LINK FENCE: After a $500 bid was received to repair and reinforce our
chain link fence by installing bottom rails, the board determined that
residents could handle this repair and installation on a neighborhood work
day. This repair is needed to prevent trespassers from rolling under the
chain link fence to gain access to our pool.
POOL COMMITTEE: After meeting with several pool companies and spending many
hours learning about the pool maintenance, Ross Thompson has seen the need
for a pool committee. He has graciously volunteered to be the chairman of
this committee while Dan Flynn offered to join the committee. Beth Reiney
had offered in the past to be involved with the pool upkeep and hopefully
she will join this newly formed committee.
THANK YOU FROM MARIANNE: Marianne Pophel joined the meeting to bring her
receipts for the plants that she tirelessly maintains at the front gate. We
are so grateful for her volunteer gardening services and she is so
appreciative of the new water outlets for the esplanade.
FISCAL YEAR STATEMENT: It is required by our covenants that an accountant
review our association’s financial statements on an annual basis. The board
voted to have Debbie’s Accounting on Southside Blvd. to review our financial
records and issue a financial statement for the past fiscal year. Rob Hagen
will follow up with this company and present the board with his findings.
With all matters discussed and no further business at hand, the meeting was
adjourned at 7:24 p.m.
The next board meeting will be held Monday, August 8, 2011, 6:00 p.m. at
3153 Secret Woods Trail West.
