MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: September 12, 2011
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, Ross Thompson , Rob
Hagen, Mark Wnuk, David Theus, and Jamie Montgomery.
NEIGHBORS PRESENT: Bryon DeLong, Andrew Barker
Meeting was called to order at 6:04pm. As there was no board meeting in the
month of August, the minutes from the July 2011 Board Meeting were accepted
as written. The financial statement prepared by Rob Hagen was accepted as
written.
OLD BUSINESS:
SHEDS; ENFORCEMENT, COVENANT CHANGE: After several requests from neighbors
regarding an interest in changing the covenants to allow sheds, the board
undertook the task. A letter of explanation, as well as a ballot, was mailed
to all homeowners with a request to vote and return the ballot by August 31.
The votes were tallied and the results were: 25 votes against sheds, and 44
votes allowing sheds. As the covenants can only be changed or modified with
2/3’s of the residents voting, the proposition to modify the shed covenant
failed to pass.
POOL MAINTENANCE: Board member Ross Thompson met with Paradise Pools to be
advised on current needs of the pool. The following items were listed:
1. Chlorinator: a new one is immediately needed to regulate and administer
the chlorine in the pool.
2. Auto-Fill Valve: needed to maintain chlorine level.
3. Directional Eyelets: needed to maintain levels.
4. Underwater lights: two lights are not working and need to be replaced.
As a customer of Paradise Pools we receive a 10% discount on their service
and parts which brings the total of the above-listed items to $684. The
board approved the expenditure and Ross will contact the pool company.
The board discussed further maintenance such as caulking and sealing around
the outer edge of the pool; clean the deck, seal cracks and paint the deck.
It was determined these items should be addressed in February or March
before the next pool season begins.
MAILBOX RENOVATION: The board is still waiting on a proposal from Terry
Tressel for his bid on the mailbox renovations. Meanwhile, Rob is getting a
quote from another handyman.
NEW BUSINESS
FOUNTAINS: Gary has contacted the fountain repair company on numerous
occasions to repair the front fountain. After replacing the circuit breaker,
and the fountain still does not work, Jamie Montgomery, a board member and
certified electrician, has volunteered to become the lead on maintaining the
fountains. He will contact the repair company and meet with them as soon as
possible.
MISCELLANEOUS
COVENANT VIOLATIONS: Several neighbors yards and vehicles are in violation
of our restrictions. This is a request from the board to please clean up
your property, cover vehicle signage, and come within the guidelines that
are set forth in our covenants.
NEW FLAG: Thank you Ross for purchasing a new flag for our neighborhood
flagpole.
DOG OWNERS: A request from a homeowner prompted several others to relate
that some dog owners are not cleaning up their dogs poop from neighbor’s
yards. A request will be posted on the bulletin board to please be courteous
to everyone and clean up after your dog. It has also been noted that some
dogs have been allowed to run free in the early morning hours. Again, the
board and all residents are requesting everyone to be courteous of others
and do not allow your dogs to run free.
RACCOON WARNING: Two sick raccoons have been spotted in the neighborhood
wandering during the day time. Please be on the alert for these animals.
With all matters discussed and no further business at hand, the meeting was
adjourned at 7:24 p.m.
The next board meeting will be held Monday, October 10, 2011, 6:00 p.m. at
3153 Secret Woods Trail West.
