MINUTES OF
SECRET WOODS HOMEOWNERS ASSOCIATION
MEETING
DATE: November 14, 2011
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, Rob Hagen, Mark Wnuk,
David Theus, Ross Thompson and Jamie Montgomery.
NEIGHBORS PRESENT: Byron DeLong, Marianne Pophal, and Dan Flynn.
Meeting was called to order at 6:01 p.m. The minutes from the October 2011
board meeting were accepted as written. The financial statement prepared by
Rob Hagen was accepted as written.
OLD BUSINESS:
POOL MAINTENANCE: A meeting with Paradise Pools was held with Ross Thompson
to address future pool renovations. A brief overview follows:
1. Install pool pavers over existing pool deck - $16,295.00
Sand and seal new pavers - $3245.00 - OR
2. Remove top layer of painted deck surface, seal cracks, re-texture
with acrylic texture including sealant - $9295.00
3. Install new pool lights, transformer and timer, partial drainage of
pool, some excavation and drywall removal in storage room - $2795.00
NOTE: A 10% discount would be given on above prices.
4. Clean pool surface of calcium and mineral deposits, hand wash, buff and
vacuum area, refill pool - $1833.00
Install four “no diving” and depth markers on top of raised beam - $785.00
These renovations are needed but not immediately. The board chose to
postpone any undue expenditures on the pool until next year. It was decided
that a new product for cleaning surfaces would be tried along with power
washing to remove mildew and debris from the pool deck. David Theuss has
volunteered to begin the work around the pool with Ross Thompson and Rob
Hagen offering to assist on this project.
MAILBOX RENOVATION: Rob Hagen will provide a new and updated bid for the
proposed mailbox renovation. The board anticipates this project to be
completed during the winter months.
FOUNTAIN REPAIR: Jamie Montgomery, along with Ross Thompson and Rob Hagen,
met with Innovative Fountain Services, Inc. to understand completely the
issues we are having with our fountain pumps. The pump and motor for the
front pond were replaced in June 2010. They lasted 14 months; 2 months out
of warranty. After testing the equipment it was determined the pump is
burned up, and the motor is running at 70% capacity. After much discussion
about the causes the condition of the pond seems to be the problem. The pond
water is full of algae and debris that is sucked into the pump and motor
which causes both to work harder than designed to do.
The cost to replace the pump and motor is $2,735.66. Innovative Ponds
strongly suggests a maintenance contract to have the pump cleaned and the
motor checked on a quarterly basis. They assured the board this would
prolong the life of the equipment. The cost of the maintenance contract for
the front pond is $196.26/quarter, or $299.97/quarter for both ponds. We
currently have a contract with The Lake Doctors for our ponds to be treated
for various algaes. However, the treatments are not long-lasting and algae
is growing. Jamie Montgomery will discuss our service with The Lake Doctors
and will advise the board if further treatment is needed and the cost.
Before the board approved of the bid we will obtain a bid from The Lake
Doctors to replace the pump and motor, and to supply an equipment
maintenance contract. As soon as this bid is received, the board will have a
better idea of which direction to go.
NEW BUSINESS
SOCIAL CALENDAR: Our December dates for the neighborhood activites were
confirmed. Wednesday, December 14 will be the date of the Christmas
decoration judging, and Saturday, December 17, will be our annual luminary
evening. The kits of luminary candles will be distributed the weekend of
December 10th and 11th, with the sand being delivered at the pool parking
lot on Monday, December 12th. Instructions will be included in the luminary
kit.
JUNIPERS FOR FRONT ENTRANCE: Marianne Pophal, who maintains our front
entrance, has requested two juniper trees to replace the rose bushes that
are not doing well. The board approved an expenditure up to $150 for two
trees. Rob Thompson will take his truck to the nursery to deliver the trees.
MISCELLANEOUS:
LETTERS IN SIGNAGE BOARDS: The letters in the signage boards are becoming
brittle and breaking from sun exposure. Bryon DeLong, who maintains our
signage boards, along with Mark Wnuk, will shop for UV film to place over
the plexi-glass door fronts. The plexi-glass on the signage board at the
back entrance will also be replaced.
COVENANT VIOLATIONS: Several neighbors yards and vehicles are in violation
of our restrictions. This is a request from the board to please clean up
your property, cover vehicle signage, and come within the guidelines that
are set forth in our covenants. The board is requesting that neighbors
follow the covenants that state trash barrels and recycle bins are not to be
put in the street before 2:00 p.m. on Sunday for Monday pick-up.
With all matters discussed and no further business at hand, the meeting was
adjourned at 7:45 p.m.
The next board meeting will be held Monday, December 12, 2011, 6:00 p.m. at
3153 Secret Woods Trail West.
